Your information is safe with us.
Onboarding paperwork contains the most sensitive data anyone hands an employer — SSN, bank account, tax forms. Here's exactly how we protect it.
Every page is served over HTTPS (TLS 1.3). Sensitive fields are encrypted before they touch our database.
Once your packet is delivered to HR, all of your personal data is wiped from the onboarding system. We keep nothing.
Your secure link is paired with a one-time 6-digit code. Codes are hashed with bcrypt; we cannot read them ourselves.
No advertising pixels, no analytics that profile you, no resale of any data. The only outbound trips are to deliver your packet to HR.
What we collect — and why
| Legal name, contact info | Required by the IRS on the W-4 and by USCIS on the I-9. |
| Social Security number | Required on the W-4 (federal tax withholding) and I-9 (employment eligibility). |
| Tax-form answers | Federal W-4 + your state withholding form. Sent only to BLE Training HR. |
| Bank routing / account # | Optional. Only collected if you choose direct deposit. |
| Emergency contact | In case something happens during your shift. |
| Drawn signature | Stamped onto your filled forms; never used for anything else. |
| EEO self-ID | Voluntary. Aggregated, not tied to your name in any export. |
What we never collect
- Browsing history outside the wizard.
- Location data, device IDs, or biometric identifiers.
- Anything we don't need for the forms you're filling out.
Who can see your data
During the 24-hour window before deletion, only the BLE Training HR team can access your packet. Manager and admin accounts use email + password with optional two-factor authentication. Every access is logged.
The 24-hour delete promise
The moment your finished packet lands in HR's inbox, a timer starts. Within 24 hours, your record is hard-deleted from the onboarding database — including your SSN, bank info, and any attachments. After that, your information lives only in HR's archive, just like a paper folder in a filing cabinet.
